Terms of Service

1. The service

MY AI Accountant provides AI-assisted bookkeeping software for Irish sole traders, companies and accounting firms: document scanning, expense categorisation, ledgers, reports and related tools. By creating an account or using the service you accept these terms.

2. Not an accountant

Reports such as the VAT summary are estimates produced from the data you provide. MY AI Accountant does not provide accounting, tax or legal advice, and does not file anything with Revenue or the CRO on your behalf. You are responsible for reviewing your books and for all filings.

3. Your account

• You must provide accurate details and keep your login credentials confidential.
• You are responsible for everything that happens under your account.
• You must be at least 18 and able to form a binding contract.
• Tell us immediately at info@myaiaccountant.ie if you suspect unauthorised access.

4. Free trial

New accounts start with a 14-day free trial. No card is taken at sign-up. If you do not subscribe before the trial ends, access to paid features pauses until you do. Your data is retained in line with our Privacy Policy.

5. Subscriptions and billing

• Paid plans are billed monthly or yearly in euro via Stripe. Prices are shown at checkout and may be exclusive of VAT, which Stripe calculates and collects where applicable.
• Subscriptions renew automatically until cancelled. Yearly plans are charged once a year in advance.
• We may change prices with at least 30 days' notice before your next renewal; the new price only applies from that renewal.
• If a payment fails, we may retry it and pause paid features until it succeeds.

6. Cancellation and refunds

You can cancel at any time from your account; access continues until the end of the paid period and no further renewal is taken. Payments are generally non-refundable except where Irish or EU law says otherwise. If you are a consumer, you normally have a 14-day right of withdrawal for distance contracts; where you ask to use the service immediately during that period, you acknowledge the right is lost once the service is fully performed, and any refund for partial performance is reduced in proportion to use. Most customers use MY AI Accountant for business purposes, in which case consumer withdrawal rights do not apply.

7. Fair and acceptable use

• Only upload documents you are entitled to process.
• Review AI-categorised entries — the AI is an assistant, not a guarantee.
• Do not misuse the service, probe or disrupt it, attempt to access other customers' data, or use it for anything unlawful.
• Do not resell access or share one login across multiple businesses.

8. Your data

Your data is handled under our Privacy Policy. You can export or permanently delete your data at any time in Settings. Documents you upload are read by AI solely to extract bookkeeping entries for you and are never used to train AI models.

9. Accounting firms

If you use MY AI Accountant as an accounting firm, you act as data controller for your clients' data and must have their authority to manage their books here. Our Data Processing Agreement sets out how we process that data on your behalf.

10. AI features

Features such as document scanning and Cost Saver AI use artificial intelligence and can make mistakes. Always check categorisations, extracted figures and suggested savings before relying on them or making filings.

11. Availability and changes

We aim for high availability but do not guarantee uninterrupted service. We may maintain, update or change features over time, and will give reasonable notice of any change that materially reduces the service you pay for.

12. Liability

The service is provided with reasonable skill and care. To the extent permitted by Irish law, we are not liable for indirect losses, lost profits, or tax penalties arising from use of the service. Our total liability is capped at the amounts you paid us in the 12 months before the claim. Nothing in these terms limits liability that cannot be limited by law.

13. Suspension and termination

We may suspend or end accounts that break these terms, with notice where reasonably possible. You can close your account at any time in Settings; on deletion your data is erased as described in the Privacy Policy.

14. Governing law

These terms are governed by the laws of Ireland, and the Irish courts have exclusive jurisdiction. If you are a consumer, this does not deprive you of the protection of mandatory consumer law in your country of residence.
